POSITION TITLE: Administrative Assistant II (to the Director of Facilities Management)POSITION SUMMARY:Under supervision of the Director of Facilities Management the position of Administrative Assistant II is responsible for performing a broad range of clerical and administrative duties for the entire department.DUTIES / RESPONSIBILITIES:* Assist the Director with internal and external communications (eg schedule; prioritize mail; screen telephone calls and walk-in visitors; draft correspondence, forms, and graphs; research, organize and document various information).* Prioritize and track multiple demands from department staff and other departments for the Director.* Provide administrative support and project coordination for various departmental staff as assigned by the Director.* Performs complex tasks within a work plan or project.* Set-up and maintenance of files and record systems.All such documents and files should be easily retrievable upon request.* Prepare accurate routine reports and presentation materials for meetings, presentations, minutes etc. as assigned by the Director.* Develop and/or maintain data bases of information and information tracking. This includes but not limited to project timelines, project assignments, invoices, expense allocations and vendors/contractors.* Coordinate meetings with clients, vendors, other departments and/or the community on routine matters as instructed by Director.* Gain a working knowledge of the Maintenance Management and Work Order system to assist and provide coverage for Facilities Manager when needed.* Schedule and obtain documentation for the completion of required regulatory inspections of medicalequipment and building systems.All other responsibly related duties as assigned.QUALIFICATIONS (knowledge, skills, abilities)* Three years related experience at professional level at an intermediate level of responsibility preferred.* Minimum of two years of college preferred.* Leadership abilities, good judgment, ability to work under pressure.* Proficiency in general office equipment* Proficient in the MS Office Suite* Strong organizational skills and ability to multitask* Strong verbal and written communication skills* Must work well in a fast paced environmentPosted by StartWire.
