PROGRAM DESCRIPTION: The Black Infant Health program works to achieve State specified activities to reduce African American infant mortality through a comprehensive community based effort assuring that at-risk pregnant and parenting African American women, their infants up to age one, and their families have access to quality maternal and child health services. SUMMARY OF POSITION RESPONSIBILITIES: Under the general direction of the Program Manager the AA/Data Entry Lead performs tasks relative to the operation of BIH program including data entry into state-wide MIS system, creating systems and documents that streamline the workflow and increase productivity, and facility maintenance. Provides facilitation and support for prenatal and postpartum groups as needed. GENERAL DUTIES: 1. Utilizes computerized data entry equipment and various word processing, spreadsheet, and file maintenance programs to enter, store and/ or retrieve information as requested or necessary, and summarizes data in preparation of standardized reports 2. Enters SFBIH case management and program data in a timely and accurate manner into the State data system and downloads program information from the MCAH-BIH ETO 3. Oversees the maintenance of clean and complete participant and site specific data 4. Develops and maintain electronic and hardcopy filing systems for the SFBIH program 5. Creates electronic and hardcopy documents and forms that streamline processes, workflow, productivity, and efficiency 6. Creates meeting agendas, takes meeting notes, and prepares meeting minutes; assists in the compilation of information for special reports; updates and maintains SFBIH team calendar 7. Monitors Support Center to be sure that the facility is kept clean and organized, maintains all office machines and equipment, orders and stocks office supplies 8. Co-Facilitates client group interventions to link clients to Medi-cal and other resources; plans and prepares activities for each group including but not limited to handout preparation, set-up and break down of groups, and participation in retention activities to ensure that all participants attend group 9. Participates in team meetings, case conferences, and collaboration with other program staff when needed 10. Complies with the company's policies, procedures, and guidelines, as well as those requirements set forth by regulatory agencies, including but not limited to DPH, DHCS, CMS, etc. 11. Ensures confidentiality of client and employee information and responds to internal and external information according to Agency policy 12. Performs other related tasks and duties as assigned by the Program Manager and Program Director. KNOWLEDGE, ABILITIES AND SKILLS: 1. Possession of a baccalaureate degree from an accredited college or university; AND 2. 1 year experience performing administrative responsibilities with excellent and accurate data entry skills 3. Strong written and oral communication skills; excellent interpersonal communications and group facilitation skills 4. Professional and/or lived experience with African American women and their families; Must be able to demonstrate sensitivity to the needs of low-income clients and highly familiar with the Western Addition and/or SE SF is desired 5. Familiar with online data systems such as Efforts to Outcomes is preferred. 6. Commitment to the Mission, Vision, and Critical Success Factors of Westside Community Services and San Francisco Black Infant Health 7. Ensure compliance of all work related activities in a fair, ethical, and consistent manner; must be able to demonstrate cultural competence 8. Flexibility to change responsibilities as the needs of the program change and able to work in stressful conditions; Demonstrated initiative and ability to follow-through on work assignments 9. Must be able to maintain confidentiality of sensitive information 10. Must be able to work within a multi-disciplinary team, in a multi-cultural/multi-ethnic environment LICENSES/CERTIFICATION: * N/A PHYSICAL AND VISUAL ACTIVITIES: Mild to medium to heavy work requiring prolonged or repeated standing, walking, climbing, stooping, kneeling, crouching, lifting, carrying to a maximum of up to 50 lbs. Physical and visual activities that is commonly associated with the performance of the essential functions of this job. "Commonly associated" is not intended to mean always or only. There may be different experiences that suggest other ways or circumstances where reasonable changes or accommodations are appropriate. SCHEDULE: Monday through Friday, 9:00 am - 5:30 pm; Weekends & Holidays may be required.
