We are pursuing a dynamic Administrative Assistant to support the Head of Investor Relations and Corporate Communications and join our team in the San Francisco office. You will support upper level management and partner with the EA to our Chairman and CEO providing meticulous back:up on a consistent basis.
The Assistant will handle materials of critical and confident nature and complete multiple tasks in a fast paced, deadline driven environment. The position requires strong social skills, both written and verbal, eye for detail as well as the ability to anticipate the needs of the team.
You will be held to high level of integrity and to interact comfortably and expertly with executives within and outside the company, as well as work well with staff at all levels remaining flexible, dedicated, resourceful and efficient.
This role will complete a wide range of administrative tasks, including but not limited to the following:
:Partner with and provide back up support for the EA to the CEO
:Answer phones, screen incoming calls, and redirect requests appropriately
:Collect and prepare information used for presentations/meetings for executive team and investors
:Handle and create materials for off:site meetings and all hands meetings in partnership with department head and/or communications team
:Plan and organize, resolve over:lapping commitments, and protect time for priorities
:Handle meetings and special events such as department all:hands and off:sites
:Handle travel itineraries
:Manage and reconcile expense reports
:Process invoices, research and trace payments and provide help with overseeing the IR budget.
:Manage and maintain industry:relevant memberships and publications
:Schedule quarterly earnings calls; collaborating with IT and facilities
:Prepare financial materials, annual reports and PR communications upon shareholder request
:Maintain, update and distribute IR executive conference materials and speaking engagement calendar
Do you have?
:Bachelors Degree with 5:7 years of experience desired
:Validated social skills, both written and verbal
:Creative teammate with excellent multi:tasking skills
:Dedicated to exercise good judgment, discretion and confidentiality in all tasks
:Detail:orientated with strong planning, social and time:management skills
:Shown ability to handle multiple tasks, remain flexible and adaptable to change directions quickly
:Ability to complete work that is self:appointed, requiring a high degree of professional independence, initiative and self:discipline
:Adaptable to work overtime (evenings and/or weekends) if necessary
:Analytical inclination, specifically related to budgets and projects
:Computer proficiency in Microsoft Word, Excel, PowerPoint and Outlook
