Target Start Date: August 1, 2017 Reports To: Administrative Manager Location: San Francisco, CA Carbon Lighthouse is looking for a resourceful, well-organized Administrative Assistant to provide support for our rapidly growing team. Responsibilities: General office administration: stocking and ordering office supplies, kitchen supplies, IT supplies, workspace management, mail processing, telephone responses Manage inventory of IT equipment, troubleshoot desktop-level IT issues, maintain and provision computer workstations Administer, configure and maintain software systems Manage, maintain and troubleshoot A/V equipment and phone systems Website inquiry response support Coordinate third-party contractors working on special projects Provide executive calendar management and scheduling support Develop, plan and provide logistical support for events Process and track monthly expense reports and reimbursements Act as liaison with third-party accounting firm and perform clerical accounting tasks including payment processing, contractor invoice tracking and PO generation Maintain and improve office filing and storage systems Coordinate submission and timely filing of government and business registrations Conduct guided and independent research projects Participate in quarterly carbon auctions as directed Required Qualifications: Exceptional ability to multi-task, manage time effectively, prioritize tasks Ability to remain flexible, embrace change, and manage uncertainty Strong organizational skills, attention to detail and timely follow-through Technical aptitude; experience with managing office IT including set-up, maintenance and troubleshooting Strong IT skills and familiarity with using and administering web services platforms Ability to rapidly learn and master new skills through direct training and self-guided research Customer service mindset; willing to follow through and get the job done Excellent written and interpersonal communication skills Demonstrate professionalism, exercise discretion and have an ability to handle confidential information with integrity Desire to improve process and take initiative to find creative solutions that improve operations Commitment to our environmental mission Bonus Qualifications: Experience with Google Apps, Dropbox and/or SalesForce administration Familiarity with accounting concepts and practices Intermediate to advanced proficiency with Excel and/or PowerPoint 1-2 years of administrative or executive support experience College degree or equivalent experience preferred Compensation and Benefits: Salary + equity Medical, dental and vision insurance 401(k) Generous vacation policy Fully paid maternity and paternity leave benefits Subsidized public transit and bike to work benefit If you're excited about our environmental mission and this looks like a fit, you should apply!
