OFFICE ADMINISTRATOR
  • Hours/Schedule: M - F 8:30 am -1:30 pm (PART TIME)
  • Contract Length: 12 months (1 year)
  • Pay: $32.00 per hour

As Office Manager, you re at the heart of your team's business operations and activities and the soul that keeps your team moving forward. You anticipate the needs of your managers and team members and help them stay focused on their projects by resolving operational and administrative issues before they arise. You move quickly with the changing environment and in addition to being organized and analytical, you possess the strong business judgment and communication skills needed to interact with a variety of people and job functions.

Office Operations:
  • Onboard new team members by managing all aspects of the process from offer acceptance through start date
  • Coordinate office operations to ensure an optimal work environment for the team by collaborating with Facilities, IT and other relevant organizations
  • Point person for maintenance, security systems and badging, mailing, printer and supplies, shipping, office equipment, tenant improvements and landlord contact
  • Plan and order team lunches, and stock kitchen with snacks, beverages, etc.
  • Ensure break area s and kitchen are kept clean and orderly
  • Welcome guests and customers by greeting them, in person or on the telephone; answering or directing inquiries

Administrative:
  • Submitting PO's and requisitions for extended teams as required and following through to completion
  • Assist team members as needed with PPT drafts and cleaning up final version
  • Track monthly birthdays and bring in treats for celebrations
  • Organize team events, happy hours, off sites, etc.
  • Manage and update all Onboarding materials in SharePoint
  • Maintain team contact, travel, bios, headshots, org charts, etc. in SharePoint
  • Collaborate closely with and provide backup coverage to Executive Assistant Assist in management of large conference registrations and travel arrangements

Selected Skills:
  • Exercise independent discretion and sound judgment to independently assess and resolve complex situations/problems, and respond to frequently shifting priorities across multiple teams

Preferred qualifications:
  • Five plus years of Administrative and/or Office Management experience in a fluid environment
  • Flexibility and the ability to pivot quickly
  • Highly developed organizational and written communication skills
  • Demonstrated ownership of responsibilities
  • Welcoming, nurturing and intuitive
  • Keen emotional intelligence and professional composure
  • Expectation of complete confidentiality on all business matters
  • Master of resourcefulness, scrappy and creative
  • Ability to effectively communicate and collaborate with a diverse range of people and job functions across the organization
  • Advanced PowerPoint skills

Education: Required:
  • Minimum of a high school diploma or GED
