Foxtail Catering & Events is seeking an organized and detail-orientated person to assist in supporting its staffing manager and growing staffing department! This is a role that is perfect for someone who enjoys administration, organization, operations and logistics. This is a great way to learn and manage logistics like scheduling, developing training programs, creating forms and spreadsheets, streamlining procedures, and focusing on staff/employee experience within a company. It's a great place to test your critical thinking skills, development skills and operations related creativity. It's a great environment to work in, and though you are not designing an event, you will get opportunities to go onsite and see our finished product (our events!). We have a cool office, a relaxed office vibe and we occasionally crack open a few bottles of wine on Friday's! If you have an HR/operational/logistical interest and enjoy administrative work, this may be a great opportunity for you. However, this is NOT a path or a way to become an event planner. This is NOT a role for event planning, event design, sales and is not client facing. If these are things you enjoy about event planning and catering, this position may not be the best fit for you. Foxtail Catering & Events is a full-service event planning and catering company based in the Dogpatch in SF. We have grown quickly over the past several years and now, along with our partner brands LRE Catering and 415 Catering, have grown to become one of the Bay Area's leading caterers in terms of the volume, scale, and caliber of our events, clients and venue relationships. Our staffing department can be an intense place, because there are many independently moving parts that need to all come together at the staffing level. As the staffing assistant, it will be your job to support the staffing manager, the event planners and the organizational managers with their staffing related needs. You will be working directly with the staffing manager on all aspects of hiring, on-boarding, training and staffing. You will also be expected to independently manage some staffing related tasks and projects, such as posting hiring ads, booking interviews, database cleanups, spreadsheet maintenance, etc. This is a part-time position, at approx 20-25 hours per week. This may grow into full-time for the right person, with strong skills who proves themselves to be indispensable. We can offer some flexibility with scheduling (best availability would be 3 full days; or 4-5 days a week, for 4 to 5 hours a day). We are looking for someone who can be flexible and open to working with the company in different capacities when the office is slow, and someone who can give a minimum 1-year commitment. REQUIRED QUALIFICATIONS *Must have strong logistical and problem-solving skills. Staffing and scheduling issues can present themselves in very complicated ways and being able to identify these issues beforehand is a necessity. *Must have outstanding communication skills, both verbal and written, and be comfortable with being the point of contact between the on-call staff and the staffing manager. Bilingualism (English/Spanish) is helpful! *Must be organized, with an exceptional ability to follow directions and procedures. You should be a natural at taking notes and being able to follow instructions that are given to you (especially written). Ikea instructions do not scare you. *Must have initiative and always strive to make things easier, smoother and better for both our staff and our managers. Must be willing to tackle issues, not avoid them. *Must have intermediate level knowledge of Microsoft Office, GSuite and you should be somewhat tech savvy. We utilize a lot of different programs, from Asana, to Squarespace to Google Docs. You should be comfortable with software in general and know how to utilize tutorials to learn new software. If you know what Google Add-ons are, that is a good sign! *Must be able to work seated at a desk and computer for 8-10 hours at a time, be able to stand and walk for 8+ hours. REQUIRED EXPERIENCE - ONE TO THREE YEARS EXPERIENCE IN: *Administrative, Front Desk and/or Executive Assistance PREFERRED QUALITIES & EXPERIENCE: *Human Resource, Staffing or Scheduling Experience and/or knowledge is helpful, but not required *Catering, Hospitality, Event Planning, Restaurant or Food Service Experience. Knowledge of catering and food service (and how these types of companies operate) is a plus, but we are willing to teach someone the world of catering if your administrative skills are strong.
