CIIS has an enrollment of more than 1,600 students pursuing degrees in a variety of academic programs in its schools of Consciousness and Transformation, Professional Psychology and Health, Undergraduate Studies, and American College of Traditional Chinese Medicine. CIIS is accredited by the Western Senior College and University Commission (WSCUC) and Accreditation Commission for Acupuncture and Oriental Medicine (ACAOM). Job Description: POSITION SUMMARY The Program Manager (PM) is the heart of the administrative team that supports the day-to-day operations of the East-West Psychology (EWP) program at CIIS. Under the supervision of the Program Chair, the PM coordinates and manages curricular operations, events, and projects. The PM serves as a key liaison between academic and administrative departments at the university and collaborates with other program staff to ensure program success. Program assignments may shift depending on the needs of the department. ESSENTIAL DUTIES AND RESPONSIBILITIES Administrative Process purchase requisitions for materials, supplies, vendors, independent contractors, catering, and speaker fees; run reports, enter and validate data; identify issues; propose potential solutions Maintain email lists, Google groups (faculty, students, alumni, etc.) Participate in the development and revision of standard operating procedures and guidelines Serve as a first point of contact for students, faculty, and external guests Liaise with other university departments and support-services as necessary Maintain program files and archives in collaboration with program chair (eg, EWP course list & descriptions, Student Handbook, & EWP catalog pages) Assist Chair with the onboarding of new faculty Attend program meetings and take notes Obtain and maintain proficiency in all relevant university platforms and systems; attend trainings and update skills as needed Understand and utilize academic affairs standard operating procedures while carrying out all work duties Review new applicant files, assign to faculty for review, and track admissions Course scheduling: collect teaching times, room requests, and course highlights from core and adjunct faculty as part of scheduling courses and classrooms Assist the program chair in budget planning, prioritizing, and tracking Maintain student and alumni records Develop possibilities for connecting faculty with research assistants Maintain and distribute advisee lists to faculty Collect and distribute potential job opportunities to students and alums Event Planning & Support Lead or assist in logistical planning and implementation for events, symposia, curricular reviews, dissertation defenses (support may include onsite event management and event wrap-up); liaise with appropriate partners as needed Reserve rooms for events/collect assets and post event listing Design marketing and communications collateral Record and process videos from special lectures, dissertation defenses, and student symposia; upload to CIIS EWP YouTube page Supervision Recruit, hire, train, and supervise work study students Provide administrative support for the TA/RA ship programs; collaborate with Program Chairs on hiring graduate teaching assistants (TAs) and research assistants, facilitate on-boarding Approve time sheets Problem solve as needed Web Management Manage the EWP pages of the CIIS website Periodically meet and communicate with the EWP Department Chair to discuss status of web projects, new initiatives, possible structural changes, updates, etc. Attend any web training provided by the Marketing & Communications department Act as main bridge between the Marketing & Communications department and the EWP department about any questions or issues related to the EWP web pages Ensure web pages are current (update curricular changes, EWP academic news, students' profiles, faculty bios, community events, etc.) Periodically review all the EWP web pages to make sure no editorial or style errors were introduced when making additions, changes, or updates Propose new initiatives to the EWP Department Chair and carry them out (eg, videos on EWP faculty talks and EWP special lectures, pictures of students/alumni accompanying their profiles, pictures of EWP classes and/or retreats, creation of EWP blog) Perform other task related to the management and improvement of the EWP web pages Manage the EWP MyCIIS page Manage the EWP Facebook page Manage the EWP YouTube account Assessment Provide assistance to the program chair in institutional assessment and accreditation processes as needed Conduct ongoing student interviews and focus groups Compile and track assessment data for both MA and PhD students Assist the Program Director with assessment reports Act as liaison between the program and other CIIS departments; work closely with Admissions, Registration, Financial Aid, and Dean of Students' offices regarding enrollment and retention, and resolving problems as they arise Assist with ongoing syllabi review for WASC and diversity compliance Interface with the Director of Institutional Effectiveness Student Support -- Current Students Notify students of any updates on academic and administrative policies and procedures Provide instruction to PhD students about every step of the dissertation paperwork process Provide moral support and discuss options with students who might otherwise leave the program (eg, provide information about leave of absence, incomplete grade options, brainstorming schedules) Student Support -- Prospective Students Respond to inquiries; issues range from questions on program philosophy, faculty, course content, EWP curriculum, courses to visit, and student life Schedule and co-host online info sessions Track prospective students (in coordination with Admissions department) Work with Admissions on recruitment initiatives Team up with a faculty member for open houses and other events organized by Admissions Student Support -- New Students Maintain contact with new admits; send new student welcome letters each semester upon admittance to the program Counsel new students on curriculum, registration, and student life issues Coordinate and facilitate new student orientation meetings Convey institute-wide policies and procedures; liaison with other CIIS departments when necessary Send students notices of program events, reminders of deadlines, etc. Alumni Support Send alumni news, booklists, invitations to relevant events, courses, etc. Track and publish alumni career updates Plan and coordinate alumni events Requirements: MINIMUM QUALIFICATIONS Minimum of two years of administrative experience and a BA, or equivalent experience and education Cultural awareness, sensitivity, and competence to support inclusion within a diverse, multifaceted context Excellent written and verbal/interpersonal skills Excellent organizational and time management skills; competent with multi-tasking, prioritizing, and sustaining focus amidst frequent interruptions Able to follow direction with minimum oversight and work independently as needed Ability to exercise sound judgment and resolve diverse problems High level of attention to detail Ability to handle sensitive, confidential matters with discretion Familiarity with and ability to apply technological innovations Word processing, web software experience, videography experience, data collection skills Sense of humor Course scheduling background preferred Ability to interact with students, faculty, staff, and the outside community with diplomacy as well as academic and technological expertise Ability to operate under pressure and assign priority to work coming from a number of individuals Preferred Qualifications 2-3 years of administrative experience at an education or nonprofit organization, or other similar environment; preference given for experience at higher ed psychology institutions Experience with a student information system (SIS), eg Jenzabar Additional Information: SALARY AND BENEFITS Salary commensurate with skills and experience.
