TheExecutive Assistant will support theInvestor Relations and Corporate Communications group in San Francisco, CA. In this high profile role, you must be able to handle details of highly confidential and critical nature, interact comfortably and skillfully with senior level executives within and outside the company, as well as with customers, vendors and visitors. This person will exhibit strong organizational, written and verbal communication skills and must be confident in yourability to interact with staff (at all levels) in a fast paced environment, sometimes under pressure, remaining flexible, proactive, resourceful and efficient, with a high level of professionalism and confidentiality is crucial to this role. Attention to detail and the ability to anticipate the needs of the executive teams are a must. this person will be expected common sense and execute tasks with minimal direction andmust demonstrate the ability to accommodate flexible work schedule, based on the needs of management and the department.
What will you do?
:Collect and prepare information used for presentations/meetings for executive staff
:Plan, organize and manage calendar for department head; includes resolving over:lapping commitments and protecting time for priorities
:Coordinate travel arrangements for department head and Investor relations (as necessary)
:Coordinate meetings and special events such as department all:hands or off:sites
:Answer phones, screen incoming calls, and redirect requests for department head
:Provide back up support for the executive assistant to the Chairman and CEO
:Manage and reconcile expense reports for department head and Investor relations
:Process invoices, research and trace payments with accounting team
:Coordinate and develop materials for off sites and all hands meetings in collaboration with department head or communications team
:Manage and maintain industry:relevant memberships for department head
:Schedule quarterly earnings calls; coordinate logistics with IT and facilities
:Forward financial materials, annual reports and press releases upon shareholder request
:Maintain, update and distribute IR and executive conference and speaking engagement calendar
:Manage and maintain industry:relevant publication subscriptions for department
:Distribute mail, forward time:sensitive soft and hard document copies as necessary

:Demonstrated excellent communication skills, both written and verbal
:Must be a team player with excellent multi:tasking skills
:Ability to be proactive, exercise good judgment, discretion and confidentiality in all tasks
:Detail:orientated with strong planning, organizational and time:management skills
:Work well under pressure, multi:task; work overtime (evenings and/or weekends) if necessary
:Flexibility and the ability to change directions quickly
:Analytical inclination, specifically related to budgets and projects
:Computer proficiency in Microsoft Word, Excel, PowerPoint and Outlook
:Bachelors Degree with 7:10 years of Executive level experience required
