Job TitleSenior Assistant Property ManagerJob Description SummaryResponsible for working with the Property Manager (PM) in the management of a property (or group of properties) in accordance with the terms of the propertys management agreement. Demonstrate regular use of judgment and discretion to solve problems and/or resolve issues, serve as tenant liaison in the building(s), and maintain a high level of tenant satisfaction. Scope of authority and duties are dependent on the type, size, and complexity of the building(s) managed.Job Description Responsibilities Execute all areas defined as part of the Property Manager job description, in the absence of the Property ManagerMay directly and/or indirectly supervise individuals, building staff, and other vendors relied upon to manage the building(s)Manage the preparation of and give approval on accurate tenant billingsUnder the direction of Property Manager, follow up on all delinquencies, utilizing Cushman & Wakefield or client-directed policiesObtain aging report for Property Manager and deliver standard correspondence to address tenant delinquenciesPrepare portions of the monthly financial reportsCode and submit property invoicesPrepare aspects of annual budget document; to include preparation operating expense reconciliationsRegularly inspect tenant space, common areas, base building areas and grounds to ensure a high level of maintenance, regularly interfacing with internal staff and vendors to maintain highest standardsParticipate in the performance oversight of all service contractors who perform building servicesRecommend and/or authorize vendor contracts as appropriateDocument and prepare the monthly Certificates of Insurance report summaryEnsure Tenant Handbook is maintained; oversee distribution of handbook to new tenantsDevelop and maintain aspects of the comprehensive Tenant Service packagePrepare lease abstracts for new tenant filesPrepare monthly rent roll for Property Managers reviewOversee tenant requests for work orders, to include obtaining estimates, providing proposals, submitting work orders, and invoicing tenantsCoordinate with the building technician and/or direct vendors as appropriateCoordinate tenant events, Fire/Life Safety procedures, and move-ins/move-outsEnsure all property files are prepared and maintained in orderly and logical manner, including leases and contracts Requirements Bachelor's degree in Business Administration or related discipline1+ years of real estate property management or related experience or any similar combination of education and experienceAbility to pursue RPA or CPM professional designation(s)Working knowledge and understanding of lease terms, operating costs, and budgeting and relatedProficiency in Microsoft Office SuiteBasic understanding of computer software programs and base building systemsBasic understanding of the reconciliation process for CAM, insurance, and real estate taxesDemonstrated initiative and sense of urgency in daily duties by meeting or improving upon deadlinesProven record of providing excellent internal and external customer serviceExcellent oral and written communications skillsAbility to work independently and as a productive member of a team Physical Requirements Involves work of a general office nature; typically includes extended periods of sitting and/or operation of a computerMay involve periods of standing, such as operating at a copier/fax/scannerInvolves movement between departments, floors, and properties to facilitate workInvolves work such as conducting tours throughout the property/portfolio, usually performed by walking and/or climbing stairsRegularly required to talk, hear, and use hands and fingers to write and typeAbility to read and understand information and ideas presented orally and in writingAbility to communicate information and ideas in writing and orally so others will understandRegularly required to utilize vision abilities, allowing reading of printed material, graphics, computer displays and physical inspection of properties and sites Cushman & Wakefield is an Equal Opportunity/Affirmative Action employer.
