Job Description:/h3:
Assists Project Team in clerical and administrative tasks to ensure projects are executed efficiently and accurately. Maintains organization of project files, drawings, and closeout documentation. Supports Project Accountant in office functions.
Essential Duties and Responsibilities
1. Meet and greet clients and visitors.
2. Answer telephones, assist caller and/or transfer to appropriate staff member.
3. Attend project meetings, transcribes, compiles, and distributes meeting minutes.
4. General clerical duties, including (but not limited to) photocopying, faxing, mailing, filing, etc.
5. Maintain organized office environment, including maintaining supplies, forms, records, and MSDS, safety and trade manuals, and assists in office technology maintenance.
6. Implement cost reductions for supplies, blueprint reductions, office equipment, etc.
7. Ensure operation of equipment by establishing and maintaining maintenance records and evaluating purchase of new equipment, when required.
8. Update and maintain network filing system, including archiving.
9. Create, modify, and update documents using Microsoft Office Suite and Procore. Attend training and continuing educational workshops when applicable.
10. Open and distribute mail to proper administrative departments.
11. Maintain vehicle records, including warranties, registrations, inspections, and permits.
12. Assist in preparation of responses to RFQs and RFPs.
13. Assist in production and maintaining of marketing materials.
14. Assist in the accurate submission and tracking of project invoices.
15. Assist Superintendent with the implementation of job site safety procedures, notifications, signage, supplies, and equipment.
16. Assist Project Manager in coordinating project meetings and other scheduling requirements.
17. Additional responsibilities as needed.

Knowledge, Skills and Abilities
1. Competent in Microsoft Office Suite, Procore, and Adobe Acrobat.
2. Ability to clearly and effectively communicate in verbal, written, and visual forms.
3. Exceptional organizational skills, with great attention to detail.
4. Basic knowledge of construction principles, techniques, and procedures is preferred.
5. Degree from a two or four:year college or university. Major course work in or past employment experience in construction management, engineering, or related field preferred.
